Who we are and what this covers

Red Pie Limited ("we", "Red Pie", "our" or "us") is a legal risk management consultancy registered in England (company number 07392358). We are the data controller for the personal data described in this policy.

This policy covers the personal data we collect whenever you interact with us: when you use our website, when you attend or are invited to Red Pie events, and when you correspond with us by email or telephone. It also covers personal data we receive from third parties.

Where we act as a data processor on behalf of a client, the client's own privacy policy will govern that processing, and the terms of our engagement with them will set out our obligations.

Data we collect from you

We collect personal data from your interactions with us, such as when you engage with our website, attend a Red Pie event, or email or telephone us. This includes:

  • The name and contact details you provide when making an enquiry
  • Your address and payment details, where relevant to an engagement
  • Your marketing preferences, including any consents you have given us
  • Information you provide when completing surveys we use for research purposes
  • Your browser or device information
  • Information about your use of our website
  • Your communications with us, including when you report a problem with our site
  • Information about your invitations to, and attendance at, Red Pie events

In the course of providing consultancy services we may also handle personal data contained in documents and correspondence relating to a matter. We treat that material as confidential and process it only for the purposes of the engagement.

Data we receive from others

Sometimes we receive personal data from third parties, in particular:

  • Where someone has made an enquiry on your behalf
  • Where analytics or similar software tells us how you engage with our website
  • Where government or law enforcement authorities provide us with identification or background information in connection with official enquiries
  • Where we carry out client due diligence, anti-money laundering or conflict checks before accepting an engagement

Cookies and our website

A cookie is a small text file placed on your device when you visit a website. Our site uses a small number of cookies and similar technologies, described below.

Strictly necessary cookies

These are required for the website to function and to remember your cookie preferences. They are set without your consent, as the law permits, and cannot be switched off.

Analytics cookies

We use Google Analytics, a service provided by Google, to understand how visitors find and use our website so that we can improve it. Google Analytics sets cookies that collect information such as the pages you visit, how long you spend on them, the approximate location derived from your IP address, and your browser and device type. We use this information in aggregate; we do not use it to identify you personally.

These cookies are set only where you consent to them. You can withdraw your consent at any time by changing your cookie preferences or by clearing cookies in your browser. Google's own privacy notice is available at policies.google.com/privacy, and you can opt out of Google Analytics across all websites using the browser add-on Google provides at tools.google.com/dlpage/gaoptout.

Embedded Google Map

Our contact section includes a map embedded from Google Maps so that visitors can find us. When the map loads, Google may set cookies and receive information about your visit, including your IP address, and may use that information in accordance with its own privacy notice. This map loads with the page.

If you would prefer not to load content from Google, most browsers allow you to block third-party cookies and content through their settings. Our address is also shown as text alongside the map, so you do not need to use it to find us.

Managing cookies

You can change your cookie preferences at any time using the cookie settings on our website. Most browsers also allow you to block or delete cookies through their settings, though blocking strictly necessary cookies may affect how parts of the site work.

Both Google Analytics and Google Maps may involve the transfer of data outside the United Kingdom. Please see Transfers outside the UK below.

Why we process your data

This section explains our reasons for processing your personal data and our lawful bases for doing so under the UK GDPR.

Consent

If you have opted in to receive information from Red Pie, we use your details to contact you by email, post or telephone. We also rely on your consent for non-essential cookies and similar technologies. Wherever we rely on consent, you may withdraw it at any time.

Contract

We process your personal data where necessary to enter into or perform a contract with you: to respond to your request for services or a quotation, to administer your account, and to provide the services you have engaged us for.

Legitimate interests

We process personal data where necessary for our legitimate interests, provided those interests are not overridden by your rights. Those interests include:

  • Providing and improving our services
  • Tailoring our website and communications
  • Monitoring, improving and protecting our content and services
  • Checking financial details, processing payments and preventing fraudulent transactions
  • Sending certain direct marketing by email and post to business contacts
  • Responding to your comments, queries or complaints
  • Undertaking, or inviting you to take part in, market research
  • Preventing, investigating and reporting fraud, misrepresentation, security incidents or crime
  • Managing legal claims, compliance and investigative matters
  • Notifying you about changes to our services

You have the right to object to any processing we carry out on the basis of our legitimate interests.

Legal obligation

We process personal data where we are legally required to do so, including responding to valid requests from government or law enforcement authorities and meeting our anti-money laundering and record-keeping obligations.

Who we share data with

We may share your personal data with:

  • Third-party suppliers involved in providing services to Red Pie, including website hosting, systems maintenance, database management, identity checking and payment processing
  • Google, in connection with the analytics and mapping services used on our website, as described in the cookies section above
  • Regulated law firms, counsel and other professional advisers, where a matter requires regulated legal services or specialist input, and with your knowledge
  • Government authorities, to assist with official requests and comply with our legal obligations
  • Our own advisers and bankers, and any new owners of the business should it be sold or integrated with another business

We do not sell your personal data, and we do not pass your details to third parties for them to market to you directly.

Transfers outside the UK

We work with clients internationally, and some of our suppliers are based outside the United Kingdom. Where your personal data is transferred to a country that is not covered by UK adequacy regulations, we ensure it is protected by appropriate safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the European Commission's standard contractual clauses.

In particular, the Google Analytics and Google Maps services used on our website may involve transfers of data to the United States. Google relies on the UK Extension to the EU-US Data Privacy Framework and on standard contractual clauses with the UK Addendum for these transfers.

A copy of the relevant safeguard can be provided for your review on request.

How long we keep data

We retain personal data for as long as our relationship with you is active, and for at least six years afterwards. This reflects the period during which claims may be brought and our legal, contractual and regulatory record-keeping obligations. Where we no longer need personal data, we delete it or render it anonymous.

Marketing preferences are retained for as long as necessary to honour your choices, including any request not to be contacted.

Security

We use reasonable organisational, administrative and technical measures to protect personal data within our organisation. Confidentiality is fundamental to our work, and we treat client information accordingly.

No system of transmission or storage can be guaranteed to be completely secure. Transmission of information over the internet, including by email, is not entirely secure and any transmission is at your own risk. Once we have received your information we apply appropriate procedures and security measures to guard against unauthorised access. If you have reason to believe your interaction with us is no longer secure, please tell us immediately using the contact details below.

Your rights

You have the right to withdraw consent wherever we rely on it, and the right to object to processing carried out on the basis of our legitimate interests. You also have an absolute right to object to the use of your personal data for direct marketing.

In addition, you may ask us:

  • For access to your personal data, or a copy of it
  • To correct or delete your personal data
  • To restrict our processing of your personal data
  • To provide certain personal data in a structured, machine-readable format and transmit it to another organisation

These rights do not always apply. For example, we may be unable to fulfil a request where doing so would reveal personal data about another person, or where we are required by law, or have a compelling legitimate interest, to retain the information. If that is the case, we will explain why when we respond.

We will respond to requests within one month, though we may extend this by up to two further months for complex requests, in which case we will tell you.

Contacting us and complaints

The easiest way to stop receiving information from us is to email and ask. You can also correct your details at any time by emailing us with your updated information. When contacting us about your personal data, please provide your full name, your preferred contact details, and a summary of your query.

Complaints

If you consider our use of your personal data to be unlawful, you have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection. Details are available at ico.org.uk. We would, of course, welcome the chance to address your concerns directly first.

The information in this policy is provided to individuals whose personal data we process as data controller, in compliance with Articles 13 and 14 of the UK GDPR.

We update this policy from time to time. Please check back for the current version.
